Cedars-Sinai Physician Practice Coordinator in Los Angeles, California

Job Posting: The Physician Practice Coordinator for Orthopedics supports the physician and clinical staff in the delivery of health care by performing a variety of administrative related tasks to maintain a smooth and efficient front office workflow. This position also serves a key role in coordinating the patient experience within the practice through performing various administrative tasks that encompass patient communications, development of outreach programs, provision of health education information, coordination of translation services, management and analysis of patient information data bases, and development and coordination of educational conferences. Responsible for day to day supervision of assigned physician practice. ESSENTIAL DUTIES AND RESPONSIBILITIES include but are not limited to the following:

•Performs all functions related to verifying insurance, scheduling of patients pre & post-operative appointments including obtaining health clearances, scheduling assists and anesthesia.

•Greets patients, collects co-pays/insurance cards, reconciles payments, create quotes/invoices, maintains waiting room, coordinates patient flow with MA’s/LVN’s

•Provides customer service actions such as scheduling first available appointments, handles all telephone interactions, triage calls by directing to appropriate individuals or departments, responds to patient questions and complaints, referring patient complaints appropriately to supervisor.

•Manages physician practice in coordination with Clinic Administrator. Trouble shoot patient/physician issues and takes appropriate action for resolution.

•Handles physician correspondence, med-legals, expense reports, calendar and other transcription needs.

•Completes credentialing at all physician facilities, ensures CVs are updated and medical staff privileges are current (CA license & DEA).

•Ensures that all documentation is current and in appropriate charts at time of visit

•Monitors work flow, assists in work assignments, recommends areas for improvement, interfaces/liaisons with other departments, assists in meeting/auditing

•Coordinates MD mentoring opportunities with fellows, students, etc

•Works closely with Surgical Fellow for coordination of practice flow

•Works with the billing and HIS departments to provide information for requested chart audits

•Ensures that appropriate surgical reports, pathology reports and daily clinic charges are sent to the billing department without delay for optimal reimbursement.

•Works closely with billing department to facilitate financial arrangements for individual patients.

•Coordinates and facilitates with hospitals/ambulatory surgery centers, cash arrangements for non-insured patients.

•Ensure that all pre-operative studies are scheduled and completed prior to surgery.

•Obtains authorizations for surgeries and outside ancillary studies to be performed

•Acts as the primary point of contact for patient and family members.

•Acts as a liaison between physician and patients in communicating surgery concerns.

•Provides surgical scheduling information, resource coordination, and support to patients before, during and after surgery procedure(s).

•Provides health education materials including forms, videos, articles to inform target population of health topic as directed by physician.

•Develops with the physician, materials for patients pre- and post- surgery and correspondences in between.

•Manages large database with patient information and perform data analysis to improve customer service and statistical data.

•Communicates findings to practitioners, medical group administration, and other stakeholders.

•Handles administrative functions, including letters, telephone, disability forms, DMV forms and Request for Authorizations for surgery scheduling.

•Builds relationships and collaborates with key stakeholders for the purpose of community outreach, both locally, nationally, and internationally.

•Provides support to physician with outside services, including, profession/collegiate teams, teaching and speaking engagements, etc.

•Medical transcription

•Maintain physician referral data base, manages VIPs and patients with special needs.

•Other duties as assigned.

EDUCATION and/or EXPERIENCE

•High School diploma required, or equivalent. Bachelor’s degree strongly preferred

•3 years working with large medical group practice preferred, and surgery scheduling experience required.

•Strong computer skills, including word processing, excel spreadsheets, and CS Link

•Proven customer service skills

•Experience with heavy phone volume

•Ability to problem solve and prioritize

•Strong physician and staff relations skills

•Advanced knowledge of medical terminology

•Familiarity with insurance concepts, able to differentiate between HMO, PPO, POS

LANGUAGE SKILLS

Strong verbal and written communication skills required.

Fluency in a second language preferred.
