Cedars-Sinai Management Assistant II in Los Angeles, California
Under general supervision, the Management Assistant II provides administrative support, coordinating all administrative activities of the Heart Institute. Demonstrates initiative, resourcefulness and problem solving skills, in applying a detailed knowledge of the responsibilities, functions and underlying management structure of the department and of the larger Health System in organizing and prioritizing work. Establishing procedures and systems and ensuring the orderly and timely flow of business through the office.
Daily responsibilities include, but not limited to:
Coordinating meetings, travel, and conferences
Assist with manuscripts, research grants, and abstracts
Correspond with vendors, sponsors and staff
Manage calendars, expenses, and reporting
Maintain lab inventory supplies and equipment for lab
Provides clerical support to Clinical Research Associate, Clinical Research Coordinator, Research Program Administrator, Research Nurse, or Research Manager.
Will complete data entry as required.
Provides document management for research activities.
Handles the process of obtaining the proper signatures for research grants and protocols.
Provides administrative support for research protocols.
Completes sample preparation and shipping and maintains study supplies and kits.
Responsible for obtaining outside research records for patients enrolled in protocols.
Schedules research meetings.
Ensures compliance with all federal and local agencies including the Food and Drug Administration (FDA and local Institutional Review Board.
Maintains research practices using Good Clinical Practice (GCP) guidelines.
High School Diploma or equivalent
Valid CA Driver's License.
Two or three years of progressively responsible office and administrative experience with ability to identify problems and resourcefulness to resolve them independently and on own initiative.
Proficiency in MS Word and Excel; ability to prioritize assignments; excellent written/verbal skills; must be able to compose and edit professional memos, letters and other documents.
Must possess a minimum computer competency comprised of a working knowledge of Windows or a comparable system (specifically including keyboarding and mouse skills)
Must additionally possess a working knowledge of work processing, spreadsheets, presentation development, email browsers and online reporting.
Knowledge and understanding of the organization, functions, policies and procedures of the department and the inter-relationship with the large Cedars-Sinai Health System, and the ability to apply the knowledge to the work of the office.
Experience demonstrating the ability to handle multiple tasks frequently with sort timelines, to prioritize and organize work, and to complete assignments in a timely accurate manner.
