Cedars-Sinai Management Assistant II in Los Angeles, California

Job Posting: Under general supervision, the Management Assistant II supporting General Surgery must function at a high-level and have a thorough understanding of the administrative support role. Following established practices, policies and guidelines, you will provide clerical and administrative support/duties while handling high volume of patient coordination and complex scheduling in the administrative offices and licensed general surgery clinics at Cedars-Sinai. The Management Assistant II is cross-trained to coordinate all front office activities and cover multiple providers, ensuring the timely completion of work assignments in accord with established timelines. Daily job duties include, but not limited to:

•Composing letters, policy statements, procedure manuals and reports on own initiative; ability to organize complex statistical and narrative reports, charts and exhibits into a complete document suitable for publication and distribution.

•Coordinating meetings for Manager and MD's

•Answer phones, correspond to emails, maintain calendars for MD's

•Multi-task various administrative duties and work independently on special administrative projects

Qualification Requirements/Preferences:

Education Certifications/Licensure Experience Physical Abilities Educational Requirements:

•High School Diploma or G.E.D. equivalency graduate required.

•Bachelor's Degree preferred.

Experience:

•Two to three years progressively responsible office and administrative experience. Preferably in business, accounting, computer operation and applications.such experience demonstrating ability to independently establish administrative and office procedures; ability to identify problems and resourcefulness to resolve them independently and on own initiative

•Demonstrated leadership ability to establish intradepartmental administrative systems and achieve orderly, accurate and timely work flow from underlying offices and units.

•Demonstrated ability to compose letters, policy statements, procedure manuals and reports on own initiative; ability to organize complex statistical and narrative reports, charts and exhibits into a complete document suitable for publication and distribution.

•Ability to type proficiently (60 WPM). Ability to edit material and ensure correct punctuation, spelling and grammar and ability to perform simple mathematical calculations.

•Must possess a minimum computer competency comprised of a working knowledge of Windows or comparable system (specifically including keyboarding and mouse skills). Must additionally possess a working knowledge of word processing, spreadsheets, presentation development, E-mail, browsers and on-line reporting.

•Knowledge and understanding of the organization, functions, policies and procedures of the Department, and the inter¬relationship with the larger Cedars-Sinai Health System, and the ability to apply the knowledge to the work of the office.

•Experience demonstrating the ability to handle multiple tasks frequently with short time-lines, to prioritize and organize work, and to complete assignments in a timely, accurate manner.

•Ability to interact effectively with Directors, Managers, patients, internal staff and representatives of public agencies and businesses.

•English language proficiency. Bi-lingual preferred/helpful

•Employee must be able to sit in front of a computer approximately 90% of their scheduled day to perform clerical and administrative functions
